Overview
VeloPBX supports audio and video conferences through conference rooms and scheduled meetings, both created by your tenant administrator (or by the meeting host). As a participant you can join in two ways:
- Dial the conference extension from your IP phone or softphone.
- Click the invite link that the host shares with you by email or chat — this opens the meeting in your browser, no app required.
If a PIN is set, you’ll be asked for it after joining.
Joining by Dialing the Conference Extension
From an IP phone
- Dial the conference extension your host gave you (for example,
8000). - If a Meeting PIN is set, enter it followed by # when prompted.
- You’re in.
From the Web Portal softphone
- Sign in at https://pbx.fortis-tele.com:8887.
- In the softphone panel, dial the conference extension.
- Enter the PIN if prompted.
Joining by Invite Link
When the host sends you an invite link via email or chat:
- Click the invite link in the message.
- Your browser opens the meeting join page automatically.
- On the join page:
- Enter your display name (this is what other participants will see).
- Pick the right speaker, microphone, and camera from the device drop-downs.
- Make sure your audio and video preview looks correct.
- Click Join.
The link includes the meeting ID — and often the PIN — already, so you usually don’t need to enter them by hand.
Note: Browser-based join works best in a recent version of Chrome, Edge, or Firefox. Allow microphone and camera access when prompted.
In-Meeting Controls
Once you’ve joined, you have a few quick controls.
From an IP phone (DTMF / FAC)

The on-screen toolbar typically gives you:

Inviting Someone Mid-Call to Become a Conference
If you’re already on a 1-on-1 call and want to merge in a third person:
- During the active call, press Transfer / Conference on your phone.
- Dial the extension or external number you want to bring in.
- Once they answer, press Merge — all three parties join one conference.
Video Meetings
If your IP phone or browser supports video and your administrator has enabled video for the meeting, you’ll see a video grid of participants. Resolution, frame rate, and the maximum number of simultaneously visible video streams (the “grid”) are configured by the meeting host.
Note: Whether video is available depends on your device, your network, and how the meeting was created. If video doesn’t appear, confirm with your host or email [email protected].
Tips
- Test your speakers and mic once before joining a meeting where you’ll be a key speaker.
- If audio quality drops, try switching from Wi-Fi to wired ethernet or vice versa.
- The conference extension stays the same across meetings — bookmark it if you use it daily.
