Voicemail

Overview

Voicemail captures messages from callers who reach your extension when you cannot answer. You can listen to, download, or delete voicemails from the Web Portal, from your IP phone, or from email (if your administrator has enabled email notifications).


Activating Voicemail

If voicemail isn’t enabled on your extension yet, contact your tenant administrator or email [email protected].

If it’s already active, you can confirm and configure it like this:

  1. In the Web Portal, go to Profile → Voicemail.
  2. Make sure Enable Voicemail is on.
  3. Set a PIN (4–8 digits, e.g. 1234). You’ll need this to access voicemail from a phone.
  4. Click Save.

Important: Choose a PIN that is not easy to guess. You’ll dial it whenever you check messages from a phone.


Setting Up a Voicemail Greeting

The greeting is what callers hear before leaving a message. You have two ways to record one.

Option A — Upload an audio file from the Web Portal

  1. Open Profile → Voicemail → Greeting.
  2. Click the + button to upload a new greeting.
  3. Choose an MP3 or WAV file from your computer.
  4. Click the Switch icon next to the new greeting to make it the active one.
  5. Click Save.

Option B — Record from your IP phone

  1. Dial the Voicemail Access Feature Access Code: *57
  2. When prompted, enter your PIN, then press #.
  3. Follow the audio menu to record your greeting.
  4. Hang up when done.

Tip: You can keep multiple greetings on file (a “regular” one and a “vacation” one, say) and switch between them from the Web Portal.


Listening to Voicemails from the Web Portal

  1. Click Voicemail in the sidebar.
  2. You’ll see a list of messages with the caller, date, and duration.

Listening to Voicemails from Your IP Phone

Dial *57 from your handset. The system will:

  1. Greet you.
  2. Ask for your PIN, followed by #.
  3. Read out how many new and saved messages you have.
  4. Drop you into the message menu.

The IP-phone voicemail menu typically uses these keys:

Note: Exact menu mappings may vary slightly depending on tenant settings. Follow the spoken prompts.


Email Notifications

If your administrator has enabled it, VeloPBX can email you each time a new voicemail arrives, optionally with the audio attached. Ask your admin to switch this on if you’d find it useful.


Direct Voicemail Transfer

While on a call, you can send the caller straight to a voicemail box without ringing the extension first:
